[Athen] Alternative Format

Generally, we put everything on CD, which the student "checks out" from
our library. The check out, however, is permanent, the student does not
need to return them. We only use the checkout system because it gives
us a record of the student actually having received their materials;
they can't come back later and say "you never gave me my alternate
format" because we have proof that we did. I have sent files via email
or other means, but this doesn't give me the guarantee that the student
got the materials. We had a very notable problem last semester with a
student who kept claiming that he "never got the files" even though we
mailed CDs, sent them via email one by one, put them on an ftp server to
download, etc. This semester he had to come in and pick up his CDs in
person per our policy. No complaints have been received!

What the student does with the alt format once they have it is up to
them. Load it onto an iPad, iPod, MP3 player, their own computer,
upload to Google Docs so they can get to it whenever and wherever they
want, we don't care. They have signed an agreement upon requesting alt
format that clearly states that they are not allowed to share their alt
format with anyone. A student buying a textbook gets to keep their
book, why wouldn't the alt format also be theirs to keep?
